At Bahama Homes, your privacy is important to us. This Privacy Policy explains how we collect, use, share, retain, and protect personal information when you use our website, dashboards, listing tools, rental application tools, document-upload tools, booking tools, payment tools, support tools, and related services (collectively, the “Platform”).
Bahama Homes handles personal information in accordance with applicable Bahamian data-protection law, including the Data Protection (Privacy of Personal Information) Act, 2003, together with other applicable privacy, consumer, tax, accounting, payment, electronic-transaction, security, anti-fraud, and recordkeeping requirements.
This Policy should be read together with our Terms and Conditions and Refund Policy. By accessing or using the Platform, you acknowledge the practices described in this Policy. Where consent is required for a particular activity, Bahama Homes will request it separately through the applicable Platform flow.
We collect and process personal information only where it is reasonably necessary for a stated purpose and where we have an appropriate basis, such as your consent, performance of a contract or requested service, our legitimate business and security needs, or compliance with legal obligations.1. Information we collect
For purposes of this Policy, “Screening Providers” means authorized third-party identity-verification, tenant-screening, document-verification, rental-history, reference, fraud-prevention, or related service providers used by Bahama Homes where screening services are available.
1.1 Information you provide
Depending on how you use the Platform, you may provide:
- name, email address, telephone number, mailing address, date of birth, and Account details;
- government-issued identification and identity-verification information;
- property ownership, management authority, Listing, availability, pricing, payout, and banking information;
- rental applications, employment and income information, references, rental history, proof of address, supporting documents, and lease-related information;
- Booking details, Guest information, check-in and checkout information, special requests, property rules, cancellation details, and Refundable Security Deposit records;
- payment, invoice, refund, Payout, rent-payment, application-payment, and transaction information;
- messages, support requests, dispute information, reviews, survey responses, and communications;
- photographs, videos, virtual-tour materials, Listing descriptions, logos, and other content you upload; and
- any other information you choose to provide through the Platform.
1.2 Payment information
Bahama Homes does not directly store full payment-card numbers or full online-banking credentials. Payment information is securely transmitted to and processed by the applicable Payment Provider.
Bahama Homes may receive and retain limited payment information, such as the payer name, billing contact details, card type, partial card details, payment token, transaction reference, authorization status, settlement status, refund status, chargeback status, and related payment records.
1.3 Information collected automatically
When you use the Platform, we or our service providers may automatically collect:
- Internet Protocol address, browser type, device type, operating system, language, and general location information;
- login activity, session information, page views, clicks, searches, form activity, error logs, and feature usage;
- cookie identifiers, advertising identifiers, referral information, and analytics information;
- security, fraud-prevention, access-control, and audit information; and
- technical information needed to maintain, secure, troubleshoot, and improve the Platform.
1.4 Information from third parties
We may receive information from:
- Payment Providers, banks, card networks, and financial institutions;
- Owners/Managers, Applicants, Tenants, Guests, references, and authorized representatives;
- Screening Providers and identity- or document-verification providers where available and authorized;
- service providers supporting hosting, security, communications, analytics, marketing, maps, document handling, and support;
- publicly available sources, government or regulatory sources, and fraud-prevention services where lawful; and
- other parties where you direct or authorize information to be shared with Bahama Homes.
We may use personal information to:2. How we use information
Where information was collected for a specific purpose, Bahama Homes will not use it for an incompatible purpose unless permitted by law, reasonably necessary for security or compliance, or supported by further notice or consent where required.
Bahama Homes does not sell personal information. We may create, license, share, or sell aggregated, anonymized, or de-identified market insights that are not reasonably capable of identifying an individual User.3. Sharing and disclosure
We may share personal information only where reasonably necessary to operate the Platform, provide a requested service, process a transaction, protect Users and the Platform, resolve a dispute, or comply with legal obligations.
3.1 Service providers and Platform partners
We may share relevant information with trusted service providers that support:
- website hosting, storage, backups, security, and technical support;
- payments, settlements, refunds, Payouts, authorization holds, banking, and fraud prevention;
- email, messaging, customer support, and transactional communications;
- document storage, electronic records, signatures, and secure file delivery;
- identity, document, application, or tenant screening where available and authorized;
- analytics, advertising, marketing measurement, and Platform improvement;
- mapping, location, photography, videography, virtual tours, inspections, and Direct Services; and
- legal, accounting, tax, audit, compliance, insurance, and professional support.
Service providers are permitted to use information only for the authorized service, their legal obligations, fraud prevention, security, and other purposes allowed by their agreements and applicable law.
3.2 Property owners, managers, and authorized representatives
When you submit a rental application, Booking request, inquiry, Lease request, payment, or supporting document, we may share relevant information with the Owner/Manager or authorized representative connected to that property or request.
A payment-pending application is not ordinarily made available to the Owner/Manager until the required Application Fee has been successfully paid and the application is submitted through the Platform.
Application information and uploaded documents are shared only where reasonably necessary for application review, screening where authorized, lease preparation, verification, fraud prevention, dispute handling, or compliance.
Owners/Managers and authorized representatives are expected to keep personal information confidential, use it only for the permitted rental purpose, and comply with applicable law. Once information is lawfully shared with them, they may have their own independent legal responsibilities for its storage, use, disclosure, and deletion. Bahama Homes is not responsible for unauthorized use outside its reasonable control, but may restrict Platform access or take other action where misuse is reported or discovered.
3.3 Payment Providers
Payment Providers may receive identity, billing, payment, transaction, device, fraud-prevention, and verification information needed to authorize, process, settle, refund, reverse, hold, release, or dispute a transaction.
Payment Providers process information under their own privacy notices, security controls, legal obligations, and service terms. Bahama Homes may receive transaction status, settlement information, limited card details, tokens, references, fraud results, and dispute information from them.
3.4 Advertising, analytics, and marketing partners
We may use cookies, pixels, analytics tools, advertising platforms, and similar technologies to measure Platform performance, understand User activity, improve marketing relevance, and display or measure advertisements.
These providers may receive device, browser, usage, cookie, referral, advertising-identifier, or interaction information. They are not authorized by Bahama Homes to receive uploaded application documents, government-issued identification, full payment-card details, or other sensitive rental records for advertising purposes.
3.5 Aggregated market insights and reports
Bahama Homes may create, use, share, license, or sell aggregated, anonymized, or de-identified market insights, reports, statistics, and trend data derived from Platform activity.
These reports may describe rental supply, pricing ranges, demand patterns, property categories, geographic trends, Booking or application activity, and other market-level information. We do not intentionally include names, direct contact details, government-issued identification, uploaded documents, full payment details, exact private addresses, or other information that directly identifies an individual User.
Where a small sample, narrow location, unique property, or unusual transaction could create identification risk, Bahama Homes may combine, suppress, generalize, delay, or otherwise limit the information reported.
3.6 Business transfers
Personal information may be disclosed as part of a proposed or completed merger, acquisition, restructuring, financing, sale of assets, business transfer, or change of control, subject to reasonable confidentiality and applicable legal requirements.
3.7 Legal, safety, and compliance disclosures
We may disclose information where reasonably necessary to comply with law, a court order, regulatory request, valid legal process, tax or accounting obligations, fraud prevention, security investigation, dispute resolution, or to protect the rights, property, safety, and integrity of Bahama Homes, Users, or the public.
We use cookies and similar technologies to support login sessions, remember preferences, maintain security, measure performance, understand Platform usage, improve services, and support analytics and marketing.4. Cookies and tracking technologies
Cookies may include:
- essential cookies needed for login, security, forms, checkout, and core Platform functions;
- preference cookies that remember settings and choices;
- analytics cookies that help us understand performance and usage; and
- advertising cookies that help measure or improve marketing relevance where used.
You may manage cookies through your browser, device, or available consent controls. Disabling essential cookies may prevent parts of the Platform from working correctly.
Some browsers or devices offer “Do Not Track” or similar signals. Because there is not yet a consistent standard for every signal, the Platform may not respond to all of them. You can still manage cookies, tracking, and advertising preferences through your browser, device, or applicable third-party settings.
Bahama Homes retains personal information only for as long as reasonably necessary to provide the Platform, complete the purpose for which it was collected, maintain transaction and service records, comply with legal and financial obligations, resolve disputes, prevent fraud, maintain security, support audits, and enforce agreements.5. Data retention
Retention periods vary according to the information and circumstances, including:
- the type and sensitivity of the information;
- whether an Account, Listing, application, Booking, Lease, payment, Payout, refund, deposit, service, or dispute remains active;
- tax, accounting, audit, payment, chargeback, legal, or regulatory requirements;
- fraud-prevention, security, and investigation needs;
- the applicable limitation or dispute period; and
- whether the information can be restricted, anonymized, or securely deleted.
When personal information is no longer reasonably needed, it may be securely deleted, anonymized, restricted, or archived according to the applicable record and backup process.
Deletion from an active Platform view does not always immediately remove information from backups, financial records, legal records, fraud-prevention systems, security logs, or records held by an authorized third party. Those records remain subject to their applicable retention purpose and safeguards.
Rental applications and supporting documents may contain personal and confidential information. Bahama Homes treats application data, uploaded documents, identity records, income information, employment records, screening information, and Lease-related documents with additional care.6. Rental application, screening, and document retention
6.1 Application records
Application records may include the application form, status history, payment status, property relationship, communications, notes, required documents, decision history, screening relationship, Lease-preparation information, audit history, and related transaction records.
A failed application payment does not make the application available to the Owner/Manager. The application may remain in a payment-pending state so the Applicant can retry payment while the related order remains open and payable.
When a paid application is submitted, relevant application information may be made available to the connected Owner/Manager and authorized representatives for the permitted rental-review process.
6.2 Uploaded documents
Uploaded documents may include identification, income records, employment documents, references, rental-history records, screening documents, Lease documents, proof of address, and other supporting files.
These documents may be used for application review, screening where separately authorized, identity or document verification, Lease preparation, fraud prevention, dispute handling, legal compliance, and Platform recordkeeping.
Where reasonably possible, document access is limited to authorized persons, such as Bahama Homes staff, the Applicant, the relevant Owner/Manager, authorized representatives, and Screening Providers. Access may be limited by User role, application relationship, Listing ownership, Account permission, or signed secure document links.
6.3 Owner and manager access
Owners/Managers and authorized representatives may receive access to application information and uploaded documents only where connected to a submitted application, Lease, payment, dispute, or property-related request.
They must use the information only for legitimate rental, screening, Lease, compliance, or dispute purposes and are responsible for protecting any copies they download or retain outside the Platform.
6.4 Document access logs
Bahama Homes may log document access activity, including who viewed or downloaded a document, the time of access, the related application, and relevant security information. These logs support security, audit, fraud prevention, dispute resolution, and compliance.
You may request available access information concerning your own uploaded documents. Bahama Homes may limit or refuse disclosure where reasonably necessary to protect security, fraud prevention, another person’s privacy, legal privilege, confidential business controls, an investigation, or a legal obligation.
6.5 Deletion, restriction, and exceptions
A User may request deletion or restriction of application records or uploaded documents, subject to identity verification, applicable law, and the exceptions described in this Policy.
Bahama Homes may retain or restrict certain records where needed for legal, tax, accounting, audit, fraud prevention, security, payment, chargeback, dispute resolution, enforcement, or legitimate business-record purposes.
Bahama Homes aims to avoid keeping uploaded tenant documents longer than reasonably necessary for the purpose collected. Some application, payment, screening, communication, audit, transaction, dispute, and security records may be retained longer where required or reasonably justified by legal, financial, security, fraud-prevention, compliance, or business-record needs.
Subject to applicable law and verification, you may have the right to:7. Your rights and choices
Withdrawing consent does not affect processing already lawfully completed. It may prevent Bahama Homes from providing a service that requires the information or consent.
If you are located outside The Bahamas, additional rights may apply depending on your location and the law applicable to the relevant service or processing activity.
Some requests may be limited where information must be retained or processed for legal, tax, accounting, audit, security, fraud prevention, dispute, payment, chargeback, compliance, contractual, or legitimate business-record purposes.
Bahama Homes uses reasonable administrative, technical, and physical safeguards designed to protect personal information against unauthorized access, disclosure, alteration, loss, misuse, or destruction.8. Data security
Safeguards may include Account access controls, role-based permissions, secure document storage, encrypted transmission, protected document handling, signed or limited-access links, security logging, backups, malware protection, vendor controls, and internal access restrictions.
Sensitive and confidential documents, such as government-issued identification, income records, employment documents, screening files, and Lease-related documents, may receive additional access restrictions or security controls where appropriate.
No system can guarantee absolute security. Users are responsible for protecting login credentials, using secure devices and connections, and exercising care when sharing information, documents, or payment details.
If you believe your Account or personal information has been compromised, contact Bahama Homes promptly.
If Bahama Homes becomes aware of a security incident involving personal information, it will assess, contain, investigate, and remediate the incident as appropriate. Bahama Homes may notify affected Users, the Data Protection Commissioner, Payment Providers, law enforcement, regulators, or other parties where required by law or reasonably appropriate in light of the nature and risk of the incident.
Bahama Homes may use service providers, technology systems, Payment Providers, Screening Providers, communications tools, analytics tools, advertising tools, document systems, or hosting services located outside The Bahamas. Personal information may therefore be processed or stored in another country.9. International transfers
Where applicable, Bahama Homes uses safeguards appropriate to the transfer and the nature of the information, which may include provider due diligence, contractual obligations, confidentiality commitments, access controls, security measures, data-processing terms, and restrictions on use.
Different countries may have privacy laws that differ from those of The Bahamas. Bahama Homes will continue to apply this Policy to information under its control and will take reasonable steps to use providers that protect information appropriately.
The Platform is intended for Users who are at least 18 years old and legally able to enter into rental, payment, application, Booking, or service arrangements.10. Children’s privacy
Bahama Homes does not knowingly allow children to create Accounts, submit rental applications, purchase screening, make payments, or request Bookings.
Information about a child may be provided by an adult only where reasonably necessary for a lawful rental or Booking purpose, such as identifying an accompanying Guest or household member. The adult providing the information must have lawful authority to do so and should provide only what is reasonably necessary.
If Bahama Homes becomes aware that a child provided personal information without appropriate authority, it may delete, restrict, or disable the information or Account, subject to legal, safety, fraud-prevention, dispute, or compliance obligations.
The Platform may contain links to third-party websites or services. Bahama Homes is not responsible for the privacy, security, content, or data-handling practices of those external services.11. Links to other websites
Review the privacy notice and terms of an external service before providing information or using it.
Use the form below to submit a privacy request. This creates a tracked support ticket so the Bahama Homes team can respond and follow up. If the form is unavailable, a request may also be submitted to support@bahama-homes.com. Bahama Homes aims to respond within 30 days where reasonably possible. Timing may vary depending on the request, identity verification, technical review, legal obligations, disputes, security concerns, third-party involvement, or applicable law.
12. Privacy requests (access, correction, deletion)

Use this form to request deletion, access, or correction of your data.
Bahama Homes may request information to verify your identity and authority before disclosing, correcting, deleting, restricting, or otherwise acting on personal information.
If a request cannot be completed in full, Bahama Homes may explain the applicable limitation where reasonably possible and legally permitted.
Tenant screening is offered only where available. Submitting a rental application does not by itself require or authorize every type of screening.13. Tenant screening consent and authorization
Before screening begins, the applicable Platform flow will identify the screening service, categories of information involved, purpose, price, relevant Screening Provider where appropriate, and any consent or authorization required.
Purpose of screening
Screening may be used to support:
- identity and document verification;
- rental-history, employment, income, or reference verification;
- fraud prevention and application integrity;
- background-related checks where available, lawful, and separately authorized;
- Owner/Manager application review; and
- compliance, dispute, and recordkeeping needs.
Authorization and sharing
Where you request or agree to screening, you authorize Bahama Homes, the relevant Owner/Manager, authorized representatives, and the applicable Screening Provider to collect, review, verify, and share the information reasonably necessary for the stated screening purpose.
A separate consent box, declaration, interview, form, or authorization may be required before a screening request is submitted. Refusing or withdrawing consent may prevent that screening service from being completed and may affect an application where screening is a disclosed requirement.
Withdrawing consent does not require Bahama Homes or a Screening Provider to reverse work already lawfully completed or delete records that must be retained for legal, payment, audit, fraud-prevention, dispute, or compliance purposes.
Results and decisions
Screening results and summaries may be shared with the Applicant, relevant Owner/Manager, authorized representatives, and Bahama Homes staff according to the applicable service and permissions.
Bahama Homes may facilitate screening and verification, but the Owner/Manager ordinarily makes the independent rental decision unless Bahama Homes has entered into a separate written management agreement providing otherwise.
Application Fees and Tenant Screening Fees are refundable only as provided in the Refund Policy or applicable law. Screening, verification, uploaded documents, or application review do not guarantee approval.
Bahama Homes handles personal information, electronic records, communications, payments, rental applications, uploaded documents, screening information, transaction records, and Platform activity in accordance with applicable law.14. Applicable laws and compliance
Applicable requirements may include:
- the Data Protection (Privacy of Personal Information) Act, 2003, and applicable amendments or successor legislation;
- electronic-communications and electronic-transaction requirements;
- consumer-protection requirements;
- payment, banking, financial-transaction, fraud-prevention, and chargeback requirements;
- tax, VAT, accounting, audit, and business-record requirements;
- anti-money-laundering, proceeds-of-crime, sanctions, and financial-compliance requirements where applicable;
- computer-misuse, cybersecurity, and security requirements;
- rental, landlord-and-tenant, contract, court, and regulatory requirements; and
- other laws that apply to Bahama Homes, a User, a Payment Provider, a Screening Provider, or a particular transaction.
This Policy explains Bahama Homes’ general privacy and data-handling practices. It does not limit any mandatory rights, duties, exemptions, disclosures, recordkeeping obligations, legal responsibilities, or compliance requirements imposed by law.
Bahama Homes may update this Privacy Policy periodically. The “Last updated” date indicates the most recent revision.15. Updates to this policy
Bahama Homes will provide reasonable advance notice of changes that materially affect how personal information is collected, used, shared, or retained through email, a Platform notice, a dashboard notice, or another appropriate method. The notice will identify when the updated Policy takes effect.
Changes required by law or needed urgently for security, fraud prevention, Payment Provider or Screening Provider compliance, or protection of the Platform may take effect sooner, with notice provided as soon as reasonably practicable.
Where a change requires consent under applicable law, Bahama Homes will request that consent separately. Continued use of the Platform after the updated Policy takes effect acknowledges the updated notice but does not replace consent where consent is legally required.
